Room Scanner ("we," "us," "our") provides an AI-powered room scanning, inventory, quoting and loading-plan platform for moving and removalist companies ("Operators") and their customers ("Customers"). This policy explains what information we collect, how we use it, and the choices you have.
2. Information we collect
- Account information: name, email address, phone number, company name and login credentials for Operators and their staff.
- Scan data: photos, video, and any 3D/spatial data captured during a room scan, along with the AI-generated inventory, volume estimates and loading plan derived from it.
- Job and quote information: addresses, move dates, pricing, and communications related to a specific job.
- Usage data: device type, browser, IP address, pages visited and general interaction data, collected automatically.
- Cookies and similar technologies: used to keep you logged in and to understand how the site is used.
3. How we use information
- To generate inventories, volume estimates, quotes and loading plans.
- To operate, maintain, and improve the platform, including improving the accuracy of our AI models.
- To communicate with Operators and Customers about jobs, quotes, and support.
- To detect, prevent, and address fraud, abuse, or technical issues.
- To comply with legal obligations.
4. How information is shared
We do not sell personal information. We may share information:
- With the Operator a Customer is requesting a quote from, since the scan and inventory exist to serve that job.
- With service providers who process data on our behalf (e.g. cloud hosting, AI processing, email delivery), under contractual confidentiality obligations.
- Where required by law, legal process, or to protect the rights, safety, or property of Room Scanner, our users, or the public.
- In connection with a merger, acquisition, or sale of assets, with continued protection under an equivalent policy.
5. Data retention
We retain scan data, inventories, and job records for as long as needed to provide the service and for a reasonable period afterward for record-keeping, dispute resolution, and legal compliance. Operators can request deletion of specific job data; Customers can request deletion of their own scan data by contacting us or the relevant Operator directly.
6. Security
We use industry-standard technical and organizational measures — including encryption in transit, access controls, and restricted internal access — to protect information against unauthorized access, loss, or misuse. No system is completely secure, and we cannot guarantee absolute security.
7. Your rights
Depending on your location, you may have the right to access, correct, delete, or export your personal information, and to object to or restrict certain processing. To exercise these rights, contact us at the email below. We will respond within a reasonable timeframe and may need to verify your identity first.
8. Children's privacy
Room Scanner is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.

Your information may be processed and stored in countries other than your own. Where required, we rely on appropriate safeguards (such as standard contractual clauses) to protect information transferred internationally.
